Senior Executive Assistant / Executive Assistant (at the rank of Clerk I / II) in the Critical Care Medicine Unit, School of Clinical Medicine (Ref.: 532957) on a two-year fixed-term contract with contract-end gratuity and University contribution to a retirement benefits scheme (up to 10% of basic salary). Renewal is subject to funding availability and satisfactory performance.)
We are seeking a highly organized and proactive Executive Assistant to support our department’s academic and administrative functions. The successful candidate will provide comprehensive assistance to the unit, coordinate administrative and financial tasks, and support department activities to ensure smooth operations.
Key Responsibilities:
- Provide administrative support to academic staff, including managing calendars, scheduling meetings, and organizing departmental events and activities.
- Handle financial matters such as reimbursements, e-procurement and financial reporting.
- Liaise and coordinate with internal units and external organizations to facilitate departmental initiatives.
- Assist in organizing departmental seminars, workshops, and other events.
- Draft and edit formal correspondence, including nominations, recommendation letters, and reports.
- Perform other duties as assigned, which may occasionally include work outside regular office hours.
Requirements:
- Bachelor’s degree with at least 5 years of relevant work experience in academic or university administration, preferably with experience in managing academic programs and finance matters; candidate with less experience will be considered as Executive Assistant.
- Strong IT skills and experience in managing complex schedules, events, and administrative workflows.
- Demonstrated ability to prioritize tasks and work independently with meticulous attention to detail.
- Excellent command of both written and spoken English and Chinese (including Cantonese and Putonghua).
- Ability to work independently and efficiently manage multiple priorities under pressure.
