This position supports the Head of Professional Learning and Business & Events Manager by providing organisational, logistical, and administrative support for departmental workshops, programmes, and language courses.

Key Responsibilities
Event Management
- Coordinate ESF CPD-related events, workshops, programmes, and conferences, including preparation, on-site support, and post-event evaluation
- Manage event registration across internal and external platforms
- Coordinate with school-site teams to arrange logistics
- Prepare documentation for external speakers and consultants, including consultancy agreements and working visa applications
Administrative Support
- Provide administrative support for professional learning services
- Process procurement procedures and purchase orders for resources and services
- Process and consolidate invoices and supporting documentation for the finance team
- Support language hub operations, including:
- Filing and documentation
- Processing expense claims and timesheets
- Managing book orders
- Preparing student enrolment documentation
Requirements
Educational Requirements
- Bachelor's degree or above
Required Experience
- Minimum 2 years' experience in administration, with a focus on conference and workshop organisation
Technical Competencies
- Advanced proficiency in:
- Microsoft Office (Excel, Word, PowerPoint)
- Google Workspace (Drive, Gmail, Calendar, Sheets, Docs and Forms)
- Strong organisational and detail-oriented skills
- Excellent time management and multitasking abilities
- Proficient in written and spoken English and Chinese (Cantonese & Mandarin)
