Key responsibilities as Office Manager (approx. 75% of your time)
Team management
Objectives & Performance appraisal
Quality assurance of delivered services by the pool of assistants
Talent management (recruitment, hiring and training for both full time and temporary administrative staff)
Contributes to CRP (consulted by COO / BMD in charge)
Leave management
Assign access rights
Validate any staff claims
Resolve employee performance, people issues and disciplinary issues (if applicable) with HR
Operate independently, without direct supervision to anticipate problems and resolve issues by applying good judgment in the context of existing policiesConduct regular team meetings to foster collaboration, address queries / issues, and ensure consistency, documentation and process optimization
Coordination and operational management:
Steer workload allocation of your team members onshore assistants (e.g. assign scope when new joiners and/or leavers, management of queries/questions regarding scope & priorities)
Coordinate planning to ensure continuity of service (e.g. back-up activation, etc.)
Oversight of ISPL smart office team in close coordination with head of team in ISPL
Regular review of service provided by ISPL team
Consolidate feedbacks & queries from onshore team members
Overall supervision of SLA
Daily interaction with all levels of management and professionals in Global Banking and other areas with CIB, frequent interaction with HR, Compliance and Risk
Additional tasks (approx. 25% of your time): Individual contribution as Executive Assistant for Managing Director(s)
