About the Role
We’re seeking a highly organized and tech-savvy Executive Assistant to provide comprehensive support to the Chairman. The ideal candidate will excel in managing schedules, coordinating IT infrastructure, handling HRMS platforms, and ensuring smooth office operations. This role requires strong communication skills, a proactive mindset, and the ability to manage both strategic and administrative tasks.
Key Responsibilities
Executive Support :
Manage calendars, schedule meetings, and draft correspondence using tools like Microsoft Office.
Create professional presentations and data reports.
HRMS & IT Infrastructure Management :
Manage the HRMS platform (e.g., YOOV) to streamline employee workflows and data management.
Coordinate with vendors for hardware, software, and account setup.
Ensure seamless IT infrastructure operations, including troubleshooting office technology.
Office Operations :
Oversee meeting systems (e.g., Zoom, Microsoft Teams) and manage subscriptions for office tools.
Maintain software licenses, hardware, and vendor contracts to ensure uninterrupted operations.
Event & Meeting Coordination :
Organize and execute meetings, events, and conferences, including agendas and follow-ups.
Manage logistics for in-person and virtual events.
Travel & Personal Assistance :
Arrange domestic and international travel, including travel documentation and itineraries.
Support personal errands, schedules, and household management.
Qualifications
3+ years of experience as an Executive Assistant or in a similar role.
Strong knowledge of HRMS platforms (e.g., YOOV) and IT coordination.
Proficiency in Microsoft Office and project management tools.
Excellent organizational, multitasking, and problem-solving skills.
Adaptability to new technologies and troubleshooting office systems.
