Administrative Executive (25260079)
Our University is seeking an experienced Administrative Executive who will work closely with our Administrative team to ensure the smooth operation of the office. The appointee will perform high-level administrative tasks and manage the day-to-day operations of an office and will be responsible for preparing the purchase requisition, coordinating meetings and events, taking meeting minutes, and providing administrative support to the Office as needed.
Responsibilities:
- Manage administrative tasks, including scheduling appointments, handling correspondence, and organising files;
- Coordinate meetings and events, including preparing agendas, managing logistics, and taking meeting minutes; reports as needed to support the office;
- Assist in procurement process, including purchase requisition, tender documents, purchasing order and logistics of goods delivery;
- Assist in IT asset management to maintain IT inventory record, housekeeping and financial records;
- Provide administrative support to ITO colleagues as needed; and
- Perform other duties as assigned.
Requirements:
- A recognised degree in Business Administration, Management, Accounting or related field with several years of relevant experience;
- Minimum of 4 years' experience in an administrative or executive support role;
- Strong organisational and time-management skills;
- Excellent communication and interpersonal skills;
- Strong analytical and problem-solving skills;
- Ability to work independently and as part of a team;
- Proficiency in Microsoft Office suite (Word, Excel & PowerPoint); knowledge in Pivot Table is preferred;
- Proficiency in using AI software would be an advantage; and
- Experience in procurement or financial record administration would be an advantage.
Shortlisted candidates will be invited to sit for a written test.
The initial appointment will be made on a fixed-term contract of two years. Re-appointment thereafter is subject to performance review, mutual agreement and availability of funding.
Salary will be commensurate with qualifications and experience.
