GENERAL ADMINISTRATION OFFICE
Manager, General Administration Office (25260036)
The appointee is expected to provide professional administrative support to the secretariat team within the General Administration Office and University-wide projects.
Responsibilities:
- Prepare meeting papers, reports, proposals, minutes, speeches and other documents;
- Handle English to Chinese translation and vice-versa;
- Liaise with external organisations such as the Government of the HKSAR, UGC, LegCo and other stakeholders;
- Provide support to the University’s institutional risk management framework;
- Draft and review policies;
- Monitor mechanisms to ensure good University governance;
- Craft high-quality and formal correspondence to government officials, distinguished academics and community leaders;
- Coordinating events; and
- Perform other duties as assigned.
Requirements:
- A bachelor’s degree with at least 10 years of post-degree full-time relevant work experience, of which 6 years should be in a supervisory capacity preferably in corporate governance or administrative management and quality assurance in tertiary institutions or public bodies;
- Attention to detail, strong analytical skills and excellent organisational, problem-solving, communication and interpersonal abilities;
- Strong self-motivation, able to work independently and as part of a team as well as the ability to work under pressure, have a strong sense of responsibility and capable of meeting tight deadlines;
- Possess good computer knowledge and skills including data analysis, spreadsheet, PowerPoint presentation and database management;
- Excellent command of spoken and written English and Chinese;
- Preference would be given to candidates with experience in secretariat support, committee work, particularly in writing policy papers, reports, proposals, meeting minutes, speeches and matters related to the higher education sector in Hong Kong; and
- Prior experience in translation between English and Chinese would be advantageous.
For those with less experience but with potential in taking up this job, the Office will consider appointment at a junior post.
Shortlisted candidates will be invited to sit a written test.
The initial appointment will be made on a fixed-term contract of 2 years. Reappointment thereafter will be subject to mutual agreement and availability of funding.
Salary will be commensurate with qualifications and experience.
